Privacy Policy

VentureSea ATS is an internal applicant tracking system used by VentureSea recruiters to manage job postings, applications, and candidate interview scheduling. This policy explains what data we collect, how we use it, and your rights with respect to that data.

VentureSea ATS's use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

When you sign in with Google, we request access to the following:

• Basic profile information — your name and profile picture, used to display your identity within the recruiter dashboard.
• Email address — used to identify your account and send system notifications related to your recruiter activity.
• Google Calendar events (calendar.events) — used to create, update, and delete interview events on your primary Google Calendar, including attaching Google Meet video links and inviting candidates as attendees. Also used to list events for the in-app calendar view.
• Calendar free/busy information (calendar.events.freebusy) — used to display available time slots to candidates when they self-schedule interviews via a scheduling link. Only free/busy status is queried; event details are not read.

Google user data is used exclusively for the following purposes:

• Creating a Google Calendar event with a Meet video link when a recruiter schedules an interview.
• Inviting the candidate as an attendee to that Calendar event.
• Updating the event when an interview is rescheduled.
• Deleting the event when an interview is cancelled.
• Listing events on the recruiter's primary calendar to populate the in-app calendar view.
• Querying free/busy availability so candidates can self-select available interview slots via a scheduling link.

Calendar data is accessed only when the authenticated recruiter performs an explicit scheduling action. We do not read, store, or analyse calendar event content beyond what is required to execute the action initiated by the recruiter.

Your Google OAuth refresh token is stored in encrypted form in our PostgreSQL database, hosted on a private VPS. It is used solely to perform calendar operations on your behalf without requiring you to re-authenticate for each action.

Basic profile information (name, email, profile picture URL) is stored to populate the dashboard UI. No calendar event data is stored in our database beyond the event ID and metadata needed to support updates and cancellations.

We do not sell, share, or transfer your Google user data to any third party. Your data is not used for advertising, profiling, or any purpose unrelated to the recruiting workflow described above.

VentureSea ATS is an internal tool. Access is restricted to authorised VentureSea employees and contractors.

Your refresh token and profile data are retained for as long as your recruiter account is active. If your account is deactivated, your credentials are revoked and your personal data is removed from our systems within 30 days.
